Most small businesses post on Facebook and Instagram, and most of them mean to check how it is going. In reality the review gets done in bursts. You open the insights, squint at a few numbers, decide what to post next, and then lose track of what worked.
A report that depends on someone finding the time tends to lapse. Ours did. The previous manual version of our monthly report ran long and then lapsed for five months. That is a large part of why we automated it.
This article describes how we produce a weekly social media report and a rolling content calendar with AI, and where a person is still needed.
How it works
Each week
- You export from Meta Business Suite. You download the exports for Facebook and for Instagram, covering posts and Stories, for each page.
- The AI reads them. Anthropic's Claude reads the exports, works out what performed and what did not, and writes a 3 to 4 page Word report for each studio.
- It keeps a rolling 4-week content calendar. The calendar is updated each week, so you always have the next four weeks in front of you.
- It reconciles leads. Leads that came from social are checked against the leads recorded in the KPI spreadsheet, so the two do not drift apart.
- It suggests content ideas. You get ideas for the next two weeks, based on what has been working.
Each month
- It rolls the weekly data into a trend review. This looks at how the month compared with earlier ones.
- It does a pulse check of local competitors. This uses their public profiles only.
Each quarter
- It writes a strategy summary. The monthly reviews are rolled up into a short strategy summary.
The AI does the reading, the judgement and the writing. Small scripts handle the arithmetic. Someone downloads the Meta Business Suite exports each week (a couple of clicks); the output is Word reports plus a content calendar in Excel, both in tools you already use.
What to watch out for
Consistency beats depth. A short report every week is worth more than a long one that lapses. Keep the report to a few pages so it keeps getting read.
Use the same period every time. If one week's export covers different dates from the next, the comparisons stop meaning anything.
Tie social back to leads. Likes and reach are easy to count, but what matters is whether any of it turned into enquiries. That is why we reconcile social leads against the KPI sheet instead of reporting social in isolation.
Competitor checks use public information. A pulse check should only look at what competitors have publicly posted. Treat it as context for your own plans, not something to copy.
Content ideas are suggestions. The AI can suggest what to post next from what has worked, but it does not know about the event next door, the sale you have not told it about, or what is happening on the floor this week.
What still needs a person
- Downloading the Meta Business Suite exports.
- Posting. The automation does not post to social media itself; a person still posts.
- Deciding which of the suggested content ideas to use, and adjusting the calendar for real events.
- Entering social and referral leads in the KPI spreadsheet if they are not already there.
- Reading the report and acting on it.
Real example
We run this for two franchise fitness studios in Auckland that are related companies of ours. Each week it produces a 3 to 4 page Word report for each studio, keeps the rolling 4-week content calendar up to date, reconciles social leads against the KPI sheet, and suggests content for the next two weeks. Each month it rolls the data into a trend review with a competitor pulse check, and each quarter into a strategy summary. A person still posts. The weekly report used to take about four hours, and the monthly version lapsed for five months; it now takes about 15 minutes and happens every week.

What do I need to give it? The exports from Meta Business Suite for each page, and your KPI spreadsheet if you want social leads reconciled.
Does it look at competitors? Monthly, it does a pulse check of local competitors' public profiles.
